New Update to Medicaid Billing System Simplifies Personal Care Billing for School Providers

We’re excited to announce a key update to X Logs for billable personal care services provided to students in K-12 settings. This update, designed with state requirements in mind, will streamline and improve accuracy for providers documenting for Activities of Daily Living (ADLs) and Instrumental Activities of Daily Living (IADLs).

What’s New with ADL and IADL Billing?


This system update standardizes how personal care activities are recorded, matching the state-required terminology and activity lists for ADLs (like bathing, dressing, and toileting) and IADLs (like medication assistance and money management). This change ensures that providers have an accurate, approved list to select from, reducing the potential for errors and simplifying documentation.

Key Benefits

Simplified Documentation for Personal Care Activities: Providers can now easily log personal care tasks by selecting from a standardized list. This minimizes confusion and ensures consistency in reporting.

Improved Accuracy with Time Tracking: New features allow providers to either automatically calculate total time spent or manually enter time directly. This flexibility helps providers record care accurately, reflecting each student’s unique needs.

Compliance and Consistency: The system now fully aligns with state regulations, giving providers peace of mind that their billing practices meet compliance standards.

How It Works

The update offers two time-tracking views for recording care:


Automatic Calculation: Providers enter the number of times an activity was completed and the average time spent per task, which the system then uses to calculate the total time.


Manual Entry: For more flexibility, providers can enter the total time spent on an activity directly.With these options, providers have more control and precision over their documentation.

Improved Reporting and Ease of Use

The system now labels billable time as “Total Billable Minutes,” making it clear for providers and administrators to track service times. Additionally, non-billable minutes, such as time away from the student, are clearly marked to avoid any confusion in reporting.
